Choosing the venue depends as much on capacity as on its accessibility for the expected guests. 3. Logistics: what's often forgotten

Beyond the venue and catering, several logistical elements are frequently underestimated:

  • Access and parking for guests, particularly outside major cities
  • Sufficient power supply for audiovisual equipment and event lighting
  • On-site directional signage, especially if the venue is unfamiliar to guests
  • A backup plan in case of the unexpected (weather for an outdoor event, delayed equipment delivery)

4. Communication and guest management

A clear invitation, sent well in advance, with a simple way to confirm attendance, avoids last-minute surprises about numbers. For more formal events, planning a check-in system (badges, sign-in sheet) smooths the entrance and immediately gives a professional impression.

5. On the day: coordination and the unexpected

On the day of the event, one person — or a small team — needs an overview of the whole running order: timings, speakers, equipment, catering. It's this central coordination that absorbs the unexpected without guests noticing.

6. After the event: what really matters

A corporate event doesn't end with the last handshake. Following up on contacts made, a thank-you message to guests, and a debrief with the team (what worked well, what needs adjusting) turn a good memory into a concrete commercial result.
